1- Admin Assistant – Regional Support Office

Position Summary:
Under the direct supervision of the Regional Logistics Manager, the Admin Assistant will provide support in executing the full range of services to RSO team, ensuring their transparency and integrity, and ensure execution of transparent and efficient reception services.
Position Duties and Responsibilities:
  • Welcomes and directs RSO visitors; by maintaining employee and department directories; giving instructions, and make sure to send RI welcome packages for new joining staff or visitors.
  • Maintains  safe  and  clean  reception  area  by complying  with  procedures, rules,  and regulations.
  • Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Contributes to team effort by accomplishing related results as needed.
  • Prepare badges and maintain RI RSO directory.
  • Follow up on guest house bookings.
  • Arrange airport pick-up and drop-off arrangements.
  • Process visas and permits arrangements for RSO staff, in coordination with RI Jordan’s HR department
  • Prepares all required equipment (laptop/phone) and furniture (desk/stationaries) for new staff joining RSO
  • Ensure that RSO is fully equipped with all needed equipment’s and supplies (Office supplies, cleaning supplies, IT supplies, etc.) by compiling needs and preparing PRs and following up on the process in coordination with Jordan CO operation team.
  • Responsible to arrange staff internal movement (vehicle movement). Act as a focal point for any RSO staff movement
  • Follow up on office utilities (Electricity, Internet, Etc.) payments on a monthly basis.
  • Supervision for RSO office cleaner and driver and ensure they perform their duties in a correct manner.
  • Participate  on  developing  Standard  Operating  Procedures  (SOPs)  on  the  above mentioned tasks and responsibilities
  • Any other duties as requested.
 Qualifications & Requirements:
  • This position demands a dynamic individual with a demonstrated ability to contribute to achieving results in a demanding and fast paced environment.
  • 1 – 2 years professional experience in the same field, INGO experience desirable.
  • Good administration skills with strong attention to detail and the ability to multi-task.
  • Strong IT skills, including MS Office Word and Excel.
  • Fluent spoken and written English and Arabic.
  • Bachelor’s degree preferred
  • Excellent organizational, interpersonal and communication skills.
  • Ability to analyze problems and provide systematic solutions in line with established policies/procedures.

Summary:
The HR Assistant is responsible to provide field and office staff with HR support by acting as the liaison between Amman HR Department and the employees, ensuring smooth communication and prompt resolution of all queries.
Essential Position Responsibilities and Duties:
  • Ensure the timely and efficient payment preparation for accurate data on donor code, number of days/hours and IBANS for Jordanians and Syrians.
  • Ensures compliance with established internal control procedures by examining files, reports, operating practices, and documentation for all HR documents as part of Self-Audit.
  • Ensure that employees’ files are auditable at all times as per RI standards and any relevant donors’ requirements.
  • Ensure On-Boarding process is being done for all newly hired staff.
  • Perform a variety of general office support duties; copying, scanning, printing, assisting in organizing of events, training and workshops, office running and document translation.
  • Assist in distributing, collecting and delivering official documents between fields’ staff & the HR Department and vice versa, e.g. (medical insurance forms, official letters and other related documents whenever needed).
  • Collect and review the attendance sheets for Syrians and Jordanians after being collected in camps.
  • Help in with the implementation of services and policies.
  • Provide general administrative support such as preparing correspondence, forms and reports, make photocopies, scanning, printing, processing confidential reports and documents, filing electronic and hard copy, tracking deadlines.
  • Admin for RI Academy related issues such (Add/Remove Staff, crediting and assigning).
  • Perform any other duties as assigned by supervisor.
Recruitment Process Support:
  • Handling hiring process activities such as posting jobs on job board or website, reviewing applications and maintaining a spreadsheet on tracking an applicant. Be part of the interview panel for positions of officer and below.
  • Print and prepare hiring policies and forms for new hires in advance with the coordination with the relevant HR member.
  • Open hard copy files for new hires after double checking that all policies and required documents signed and delivered properly.
  • Support in entering new hires information and updating current staff information in the HR software, includes scanning related documents.
  • File interviewed candidates CVs alongside to their interview sheets (those who did not pass the interview) based on the position was interviewed for.
  • Responsible for the hiring of Jordanian & Syrian volunteers (including filing).
Working Relationships
  • Proactively engage with your supervisor and key staff (Program and Finance).
  • Proactively engage on a regular basis with your supervisor to develop working networks to seek advice where needed.
Representation
  • Represent RI in a positive and professional manner to contribute to the creation of a positive image and overall credibility of the organization, notably through the application of RI’s mandate, ethics, values and stand-point with regard to other actors.
Security
  • Ensure the application of, and compliance with, security protocols and policies.
Qualifications and Requirements:
Share the humanitarian mission of the organization.
  • BA degree in Business Administration or any related filed.
  • Two years of work experience as Administrative/Office Assistant or any similar role. Preferable in iNGOs.
  • Excellent knowledge in MenaPay and MenaMe software.
  • Excellent written and oral communication skills in English.
  • Proficiency with Microsoft Office (Word, Excel, and PowerPoint) and Outlook.
  • Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues.
  • Capable of working both individually and as part of a team.
  • Ability to work effectively in a fast-paced, stressful environment.
  • Flexible, willing to perform other duties and work irregular hours.
